MeetSynced LLC ("MeetSynced," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit and use the Synced web-based platform (the "Service").

By using the Service, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Service.

Relationship to Subscription Agreement This Privacy Policy is part of our broader website terms and policies. Your use of the Site and Services is also governed by our Terms of Service, which outline your responsibilities and rights when accessing and using our platform.

Use of the Service may be subject to a separate Subscription Agreement or Terms of Service between you (or your organization) and MeetSynced LLC. In the event of a conflict between this Privacy Policy and such agreement, the terms of the Subscription Agreement will control with respect to the subject matter addressed therein.

1. INFORMATION WE COLLECT
We collect the following types of information when you use the Service:

a. Account Information via Google or Microsoft
When you log in using your Google or Microsoft Teams account, we collect:

  • Your name and email address
  • Your organization (if applicable)

Authentication is handled via OAuth. We do not access or store your password.

b. Calendar Metadata
To coordinate scheduling, we access limited calendar metadata, including:

  • Free/busy availability
  • Time zone settings

We do not access or store event titles, attendees, descriptions, or other content from your calendar.

c. Usage Analytics
We use Google Analytics to collect non-identifiable data about how users interact with our Service. This includes:

  • Page views and session durations
  • Browser and device types
  • Referral sources

This information is aggregated and anonymized. We do not use it to identify you personally. Google Analytics data is retained in accordance with Google's default retention policies and does not include IP addresses or other identifiers that could be used to directly identify users. Users may opt out by using the Google Analytics Opt-out Browser Add-on.

d. AI and Machine Learning Features
We may use AI to:

  • Suggest optimal meeting times
  • Enhance user experience and scheduling efficiency

These features may process anonymized or aggregated data. We do not use personal data to train AI models without explicit consent. Some AI processing may involve third-party platforms such as OpenAI or Microsoft Azure, and data is handled in accordance with those providers' privacy and security policies.

e. Payment and Billing Information
We use Stripe, a PCI DSS-compliant payment processor, to handle all payment transactions. When you make a payment, your payment details are transmitted directly to Stripe using secure, encrypted connections. MeetSynced does not store or have access to your full payment details such as complete credit card numbers.

For billing and customer support purposes, we may collect and store limited information, such as your billing address and the last four digits of your payment method.

f. Marketing Communications and Waitlist Sign-Ups
You may provide your email address to join our waitlist or to receive updates, newsletters, and other marketing communications from MeetSynced. We collect and store your email address and related preferences solely for the purpose of sending you relevant communications. We use trusted third-party email service providers (such as Mailchimp or SendGrid) to manage and send these communications on our behalf. These providers are contractually obligated to safeguard your data and use it only for the purposes of delivering our communications.

We only send marketing communications where we have a lawful basis to do so, which may include your explicit consent or our legitimate interest in communicating with you about our service. You can unsubscribe from marketing emails at any time by following the unsubscribe link in any message you receive, or by contacting us directly.

2. COOKIES AND SIMILAR TECHNOLOGIES

4. THIRD-PARTY SERVICES AND API COMPLIANCE

a. Google API Services
MeetSynced’s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

b. Microsoft Graph API
We also comply with the Microsoft API Terms of Use for all data accessed through Microsoft Graph.

c. Payment Processor
We use Stripe to process payments. Stripe collects personal and payment information necessary to process transactions and is responsible for the secure handling of your data. For more information, please see the Stripe Privacy Policy.

5. DATA SHARING AND DISCLOSURE
We may share data:

  • With trusted vendors who support the Service (e.g., hosting, analytics, AI processing, payment processing) under strict confidentiality and data protection obligations

We do not sell or share your personal data for marketing purposes.

6. DATA RETENTION
We retain your account and calendar metadata for as long as your account is active. Anonymized usage data may be retained indefinitely to improve our Service.

You may request deletion of your personal data at any time by contacting us. Upon receipt of a deletion request, we will remove your data from active systems within 30 days and remove backup copies within 90 days, unless a longer retention period is required by law.

We implement industry-standard security measures, including:

  • OAuth 2.0 authentication
  • HTTPS encryption
  • Access controls, logging, and regular security reviews

However, no system is completely secure, and we encourage you to protect your account credentials. If we become aware of a data breach involving your personal information, we will notify you in accordance with applicable laws.
