MeetSynced LLC ("MeetSynced," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit and use the Synced web-based platform (the "Service").

By using the Service, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Service.

Relationship to Subscription Agreement. This Privacy Policy is part of our broader website terms and policies. Your use of the Site and Services is also governed by our Terms of Service, which outline your responsibilities and rights when accessing and using our platform.

Use of the Service may be subject to a separate Subscription Agreement or Terms of Service between you (or your organization) and MeetSynced LLC. In the event of a conflict between this Privacy Policy and such agreement, the terms of the Subscription Agreement will control with respect to the subject matter addressed therein.

  1. INFORMATION WE COLLECT

We collect the following types of information when you use the Service:

a. Account Information via Google or MicrosoftWhen you log in using your Google or Microsoft Teams account, we collect:

  • Your name and email address
  • Your organization (if applicable)

Authentication is handled via OAuth. We do not access or store your password.

b. Contacts InformationTo facilitate meeting coordination and participant selection, we access your contacts from Google or Microsoft. This allows you to:

  • Easily select meeting participants when scheduling
  • View contact information for meeting invitees
  • Send meeting invitations to your contacts

We access only basic contact information (names and email addresses) necessary for scheduling meetings. We do not access or store other contact details such as phone numbers, addresses, or notes unless specifically required for scheduling functionality you request.

We do not use your contacts data for marketing, advertising, or any purpose other than enabling you to schedule meetings with people in your contact list.

c. Calendar AccessTo provide comprehensive scheduling functionality, we access your calendar information, including:

  • Calendar events (titles, times, locations, descriptions)
  • Event attendees and participants
  • Free/busy availability
  • Time zone settings
  • The ability to create, edit, and delete calendar events on your behalf

This access allows us to:

  • Display your existing meetings when scheduling new ones
  • Avoid scheduling conflicts
  • Automatically create calendar events when meetings are scheduled
  • Update or cancel events as needed
  • Coordinate with other participants' calendars

We access calendar information solely to provide the scheduling features you request. We do not use calendar data for advertising, marketing to third parties, or any purpose unrelated to providing scheduling functionality.

d. Usage AnalyticsWe use Google Analytics to collect non-identifiable data about how users interact with our Service. This includes:

  • Page views and session durations
  • Browser and device types
  • Referral sources

This information is aggregated and anonymized. We do not use it to identify you personally. Google Analytics data is retained in accordance with Google's default retention policies and does not include IP addresses or other identifiers that could be used to directly identify users. Users may opt out by using the Google Analytics Opt-out Browser Add-on.

e. AI and Machine Learning FeaturesWe may use AI to:

  • Suggest optimal meeting times based on participant availability
  • Enhance scheduling efficiency within the Service
  • Provide smart scheduling recommendations

AI features process calendar availability data solely to improve the scheduling functionality you directly request. We do not use your personal calendar data or contacts to train generalized AI models or for purposes unrelated to providing our scheduling Service.

f. Payment and Billing InformationWe use Stripe, a PCI DSS-compliant payment processor, to handle all payment transactions. When you make a payment, your payment details are transmitted directly to Stripe using secure, encrypted connections. MeetSynced does not store or have access to your full payment details such as complete credit card numbers.

For billing and customer support purposes, we may collect and store limited information, such as your billing address and the last four digits of your payment method.

g. Marketing Communications and Waitlist Sign-UpsYou may provide your email address to join our waitlist or to receive updates, newsletters, and other marketing communications from MeetSynced. We collect and store your email address and related preferences solely for the purpose of sending you relevant communications. We use trusted third-party email service providers (such as Mailchimp or SendGrid) to manage and send these communications on our behalf. These providers are contractually obligated to safeguard your data and use it only for the purposes of delivering our communications.

We only send marketing communications where we have a lawful basis to do so, which may include your explicit consent or our legitimate interest in communicating with you about our service. You can unsubscribe from marketing emails at any time by following the unsubscribe link in any message you receive, or by contacting us directly.

  1. COOKIES AND SIMILAR TECHNOLOGIES

We use cookies and similar tracking technologies to enhance your experience on the Service. Cookies are small data files stored on your device that help us:

  • Recognize repeat visitors

  • Provide AI-assisted scheduling recommendations based on availability
  • Process subscription payments and maintain transaction records
  • Monitor system security and prevent unauthorized access or abuse
  • Respond to your support requests

We do NOT use your data for:

  • Serving advertisements
  • Marketing your data to third parties
  • Resale or monetization beyond our Service subscription
  • Building or training generalized AI or machine learning models
  • Any purpose unrelated to providing the scheduling functionality you request

  1. COMPLIANCE WITH GOOGLE AND MICROSOFT API REQUIREMENTS

a. Google API Services - Limited Use Disclosure

MeetSynced's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We access Google user data (contacts and calendar information) solely to provide the scheduling and meeting coordination features visible in our application's user interface
  • We do NOT use Google user data for serving advertisements
  • We do NOT allow humans to read Google user data unless we have your explicit consent, it is necessary for security purposes, or required for legal compliance
  • We do NOT transfer Google user data to third parties except as necessary to provide the Service (such as cloud hosting infrastructure), and all such transfers comply with the Limited Use requirements
  • We do NOT use Google user data to build, improve, or train generalized AI or machine learning models
  • All use of Google user data is limited to providing or improving user-facing features that are prominent in the Service's user interface and that you directly request

b. Microsoft Graph APIWe also comply with the Microsoft API Terms of Use for all data accessed through Microsoft Graph.

c. Payment ProcessorWe use Stripe to process payments. Stripe collects personal and payment information necessary to process transactions and is responsible for the secure handling of your data. For more information, please see the Stripe Privacy Policy.

  1. DATA SHARING AND DISCLOSURE

We do not sell, rent, or share your personal data for marketing purposes.

We may share limited data only in the following circumstances:

Service ProvidersWe work with trusted third-party vendors who help us operate the Service, including:

  • Cloud hosting providers (to store data securely)
  • Authentication services (Google OAuth, Microsoft OAuth)
  • Payment processors (Stripe)
  • Email service providers (for transactional emails only)

These vendors are contractually bound to:

  • Use your data only for the specific services they provide to us
  • Maintain strict confidentiality and security standards
  • Comply with applicable data protection laws

Calendar and contact data is shared with service providers only to the extent necessary to provide core infrastructure (such as secure cloud hosting) and is never shared for marketing, analytics, or purposes unrelated to the scheduling functionality.

Legal RequirementsWe may disclose information if required by law, legal process, or government request, or if we believe in good faith that disclosure is necessary to:

  • Comply with legal obligations
  • Protect our rights or property
  • Investigate and prevent fraudulent or abusive use of the Service
  • Protect the safety of our users or the public

We retain your data only as long as necessary to provide the Service:

  • Account, contacts, and calendar data: Retained while your account is active
  • Usage analytics: Anonymized data may be retained for security and system performance monitoring
  • Payment records: Retained as required by law for tax and accounting purposes

You may request deletion of your personal data at any time by contacting us at support@meetsynced.com. Upon receipt of a deletion request, we will:

  • Remove your data from active systems within 30 days
  • Remove backup copies within 90 days (unless a longer retention period is required by law or for legitimate security purposes)

You may also revoke MeetSynced's access to your Google or Microsoft account at any time through your account settings, which will immediately prevent us from accessing your calendar and contacts data.

We implement industry-standard security measures to protect your information, including:

  • OAuth 2.0 authentication (we never store your passwords)
  • HTTPS encryption for all data in transit
  • Encryption of sensitive data at rest
  • Access controls and authentication logs
  • Regular security reviews and updates

However, no system is completely secure. We encourage you to protect your account credentials and enable two-factor authentication where available. If we become aware of a data breach involving your personal information, we will notify you in accordance with applicable laws.

Depending on your location, you may have rights to:

  • Access your personal data and receive a copy
  • Correct inaccurate or incomplete information
  • Delete your personal data (subject to legal retention requirements)
  • Restrict or object to certain data processing activities

  • Withdraw consent at any time (where processing is based on consent)

You also have the right to revoke MeetSynced's access to your Google or Microsoft account at any time through your account settings:

If you are located outside the United States, please be aware that information we collect may be transferred to and processed in the United States. By using the Service, you consent to the transfer of your information to the United States and the processing of that information in accordance with this Privacy Policy.

We may update this Privacy Policy periodically to reflect changes in our practices or for legal, regulatory, or operational reasons. If we make material changes, we will notify you by:

  • Posting a notice on the Service
  • Sending an email to the address associated with your account (where appropriate)

The updated policy will indicate the "Last Updated" date. Continued use of the Service after changes are posted constitutes your acceptance of the revised policy.
